Guidelines for Abstract Submission

Submission Deadline

The submission deadline is June 26, 2012, Noon Eastern Time. No exceptions will be allowed.

Eligibility

To submit an abstract, the following criteria must be met:

Abstracts describing original and clinical work related to the broad area of rheumatic disease may be submitted.
An abstract is ineligible for consideration if it reports work that has been accepted prior to the ACR submission deadline of June 26, 2012, for publication as manuscript.
The same study should not be submitted as multiple abstracts. Abstracts that appear as more than one version of a single study will be rejected.
By submitting an abstract, you agree to present the abstract if it is selected for presentation during an oral or poster presentation.
Case reports submitted to the ACR or ARHP program are not considered appropriate and will not be reviewed.
If the abstract reports results of a clinical trial, not yet approved by a regulatory agency, you will be required to identify the trial phase.
Abstracts submitted for the late-breaking category cannot be submitted to another category.
Abstracts submitted for the ARHP program may not be dually submitted to the ACR program.
You do not have to be a member of the ACR or ARHP to submit an abstract.
Any work with human or animal subjects reported in submitted abstracts must comply with the guiding principles for experimental procedures found in the Declaration of Helsinki of the World Medical Association.

BASIC RESEARCH AND CLINICAL RESEARCH CONFERENCES ABSTRACTS

Young investigators may also submit an abstract that has been submitted to the ACR general program, to the Basic Research Conference or Clinical Research Conference for consideration. Young investigators will be required to check a box during the submission process to indicate if they want to have their abstract considered for inclusion in either conference. Acceptance to the ACR program is a prerequisite for consideration by the Basic Research Conference or Clinical Research Conference, and acceptance to either of these conferences does not remove the abstract from the general ACR program.

Submission Deadline

The submission deadline is June 26, 2012, Noon Eastern Time. No exceptions will be allowed.

Eligibility

Only investigators with less than six years of experience are eligible to submit an abstract to the Basic Research Conference or Clinical Research Conference.
Abstracts must also be submitted to the ACR general submission.

ACR Basic Research Conference Criteria

Abstracts should be related to bone biology in inflammatory and rheumatic disorders, including pathologic bone remodeling in osteoarthritis and inflammatory rheumatic diseases, the role of the immune system in regulating bone cell differentiation and activity, mechanisms underlying deregulated bone remodeling in Paget's disease of bone, and genetic and pediatric disorders of bone remodeling. Abstracts related to therapeutic interventions aimed at modulating bone turnover will also be considered.

ACR Clinical Research Conference Criteria

Abstracts should be those related broadly to the area of comparative effectiveness research, or to the development of evidence-based treatments through participation in registries, as relates to the practice of rheumatology.

Abstract Processing Fee

There is no additional fee to have your abstract considered for these conferences.

Format

Abstracts may be selected for oral or poster presentation, and the presenting authors should be prepared to present in either format. Accepted abstract presentations will be held during the preconference courses on Friday, November 9 or Saturday, November 10, 2012.

Abstract Processing Fees

A $70 (ACR) or $40 (ARHP) processing fee (in U.S. funds) must accompany each abstract. The ACR/ARHP accepts payment only in the form of MasterCard, Visa and American Express. Purchase orders, check and electronic bank transfers will not be accepted. Abstract processing fees are non-refundable – no exceptions.

Abstract Format

The abstract limit is 2,750 characters, which excludes the title, names of authors/co-authors, authors’ affiliations, spacing and disclosures. In addition, imported tables and graphics will decrease the character count by 250 characters from the total limit allowed. Abstracts exceeding the character limit will be considered “incomplete.” Abstracts marked “incomplete” at the close of the submission deadline will be ineligible for consideration.

Authors should organize the abstract into four sections:

Background or Statement of Purpose
Methods, materials and analytical procedure used
Summary of the results in sufficient detail to support conclusion
Conclusions reached (do not state “results will be discussed”)

Involvement of Individuals Not Listed as Authors

Names of individuals who had a substantial role in the study or abstract preparation who are not included in the list of authors must be disclosed. For each individual, please describe the activity or activities, the reason the individual is not listed as an author, and the manner in which the individual's participation is being disclosed to the learner, e.g., study design, acquisition of data, analysis and interpretation of data, abstract preparation, statistical analysis or other. These disclosures will be published in electronic version on the ACR Web site.

Study Sponsor Statements

For abstracts about studies that were funded by a pharmaceutical or biotech company or other commercial enterprise, a "Role of the Study Sponsor" statement must be included (use plural "Sponsors" if more than one sponsor is listed). This statement describes for the learner the part played by the commercial entity in the conduct and reporting of the study. Note: This applies only to commercial enterprises (e.g., pharmaceutical or biotech companies; device manufacturing companies). It does not apply to government entities such as NIH or its equivalent funding agencies in other countries or to public or private foundations. This statement will be published in electronic version only on the ACR Web site.

ACCME Standards and ACR Policy Regarding Third-Party Bias

In accordance to the ACCME requirements and ACR policy abstracts selected for poster or oral presentation must be free of bias. Do not reference any company/product brand names during your presentation. However, institution logos (e.g., non company/product logos such as universities, non-profit associations and government agencies) are allowed in the body of your presentation.

ACR requires that educational materials that are part of a CME activity, such as slides, abstracts and handouts, do not contain any advertising, trade names or product-group message. For oral presentations, disclosure must be listed on the second slide of each presentation. For posters presentations, disclosure must be listed once at the bottom of the page.

Primary Research, Trial and Phase Information

The presenting author will be required to select a primary research category (e.g., Clinical, Observation, Interventional, etc).
Abstracts that report results of a clinical trial not yet approved by a regulatory agency will be required to identify the trial phase.

What are the different types of clinical trials?

Treatment
Treatment trials test experimental treatments, new combinations of drugs or new approaches to surgery.
Prevention
Prevention trials look for better ways to prevent disease in people who never had the disease or to prevent a disease from returning. These approaches may include medicines, vaccines, vitamins, minerals, or lifestyle changes.
Diagnostic
Diagnostic trials are conducted to find better tests or procedures for diagnosing a particular disease or condition.
Screening
Screening trials test the best way to detect certain diseases or health conditions.
Quality of Life
Quality of Life trials or (Supportive Care trials) explore ways to improve comfort and the quality of life for individuals with a chronic illness.
Epidemiologic or Observational
Epidemiologic or Observational trials look at the link between risk factors and disease. Others look at the effect of treatments for the disease.
Correlative
Correlative trials use blood and tissue samples to look at disease risk or how well a treatment is working.
Meta-Analysis
Meta-Analysis Trials use quantitative methods to combine the results of independent studies and synthesizing summaries and conclusions.

What are the different types of research methods?

Basic:
This type of research is done in laboratories, including animal model studies – to analyze how current treatments work, and to develop potential new therapies.
Biomarkers and Imaging:
Biomarkers are anatomic, physiologic, biochemical, or molecular parameters associated with the presence and severity of specific disease states. An important consideration in evaluating new drugs and devices is determining whether a product can effectively treat a target disease. Biomarkers and imaging may, in many instances, provide objective endpoints that may provide information related to treatment efficacy.
Clinical:
Clinical research studies tests how well new medical approaches work in people. This type of research is done on human subjects – to test new methods of screening, prevention, diagnosis, or treatment of a disease. Interventional and observational research methods are types of clinical research; therefore these research methods are not necessarily mutually exclusive.
Interventional:
Interventional studies are those in which individuals receive a treatment or other intervention and their outcomes are measured.
Observational:
Observational studies are those in which individuals are observed or certain outcomes are measured. No attempt is made to affect the outcome (for example, no new treatment is given).
Translational:
Translational research studies include laboratory-based research and research in human subjects, populations and communities aimed at clarifying mechanisms of disease, developing measures or markers of disease presence, severity or improvement, and developing drugs or devices to treat disease or improve health.

What are the different phases of clinical trials?

Phase I:
Phase I trials, researchers test an experimental drug or treatment in a small group of people (e.g., 20-80) for the first time to evaluate its safety, determine a safe dosage range, and identify side effects.
Phase II:
In Phase II trials, the experimental study drug or treatment is given to a larger group of people (e.g., 100-300) to see if it is effective and to evaluate its safety.
Phase III:
In Phase III trials, the experimental study drug or treatment is given to large groups of people (e.g., 1,000-3,000) to confirm its effectiveness, monitor side effects, compare it to commonly used treatments, and collect information that will allow the experimental drug or treatment to be used safely and to be evaluated for drug approval by regulatory agencies.
Phase IV:
In Phase IV trials, post marketing studies delineate additional information including the drug's risks, benefits and optimal use.

Presenting Author Responsibilities

At the time of submission, the person submitting the abstract must identify the author who will be designated as the presenting author. The presenter is required to speak English when presenting, as this is the designated language for the meeting. The presenting author will be the sole point of contact for information regarding the submission and is responsible for the following:

Ensuring each co-author is aware of the contents of the abstract and supports its data. Failure to receive approval from each co-author will result in the abstract being disqualified.
Ensuring each co-author is aware of the disclosure requirements.
Adhering to the Abstract Disclosure Statement and obtaining disclosure information from all co-authors.
Presenting the abstract or arranging for a co-author to present the abstract if it is selected for presentation during and oral and/or poster session.

Note: If you are the presenting author on multiple abstracts or if you have accepted an invitation as an invited speaker and/or moderator and a conflict is identified, you will be required to appoint a co-author to present the abstract. Only co-authors listed on the accepted abstract may present the abstract – this includes poster presentations.

Forwarding all correspondence to all co-authors (e.g., abstract acceptance/rejection notifications and ACCME and ACR polices.)
Notifying each co-author of any changes to the program, as may be corresponded by the ACR/ARHP in a timely manner.

The presenting author must comply with these responsibilities or be subject to corrective action as deemed appropriate be the ACR or ARHP leadership.

Presenting Author Affirmations

The ACR/ARHP does not condone presentations given by an invited speaker who has not been intimately involved in the development of the data and who cannot meet the criteria for authorship To be eligible to present, at the time of submission, the presenting authors will be required to confirm agreement with the following:

I confirm I had full access to all of the data in the study, and take responsibility for the integrity of the data and the accuracy of the data analysis and approved the data for presentation.

I confirm I made significant contributions to the study design, analysis or interpretation of results.

Abstract Presentation Information

Acceptance for Presentation

The presenting author will be notified via e-mail in August. The presenting author will be the sole point of contact for information regarding the submission for more detailed information (see Presenting Author Responsibilities). Late-breaking presenting authors will be notified in October.

Presentation Format

Oral Abstract Presentation

Oral presentation will be 15-minutes podium presentation. The presenter will have 12-minutes for presentation and three minutes for discussion. Oral abstract presenters will be required to bring their presentation in an electronic format to the on-site Speaker Ready Room, where they will have the opportunity to review or make changes using computers in the room. All presentations will be uploaded to a central server and sent to the appropriate meeting room on a secured intranet circuit prior to the start of the session. All slides will be checked for adherence to ACCME policies by ACR staff prior to uploading your presentation.

Poster Abstract Presentation

The presentation of posters facilitates one-on-one interaction between the presenter and the audience. There will be one poster session on Sunday, Monday and Tuesday. Posters will remain in the Walter E. Washington Convention Center from 9:00 AM – 6:00 PM, with presenters in attendance to answer questions about their abstracts from 9:00 – 11:00 AM each day. There is no poster session on Wednesday. The number on each presentation board correlates with the abstract presentation number. Therefore, this number will change for each poster session.

Posters must be mounted and dismantled during the designated times as outlined in the abstract notification. ach presentation board measures 44 inches (111.76 cm) in height and 90 inches (228.6 cm) in width. The presenter must provide the presentation material for the board, including a copy of the abstract and all relevant disclosure information. Text and illustrations must be readable from distances of at least three feet. Use lightweight materials only, heavy articles are difficult to secure. Posters may be broken down into several smaller portions, but must not exceed the maximum size of 44 inches (111.76 cm) in height and 90 inches (228.6 cm) in width. Push pins to mount materials will be available on-site. No audiovisual, projection or computer equipment requiring electrical power will be permitted in the poster session area.

As a reminder, in order to ensure a positive experience for both attendees and poster presenters, it is important to make sure that all posters are properly mounted and presenters are present during the advertised hours for poster presentations. Please note that the ACR will be monitoring posters during the presentation hours in an effort make certain that the ACR is meeting the educational needs and expectations of attendees.

Poster Session Presenter Instructions

If you are presenting a poster, please set up and remove your poster during the times listed below.

Poster presenter ribbons will be available outside of the poster hall and in the Speaker Ready Room.

Posters must be removed by 6:30 PM. Posters not removed by 6:30 PM will be removed and discarded. ACR is not responsible for lost, damaged or discarded posters.

Registration and Hotel Accommodations

All attendees are required to register and pay appropriate registration fees and arrange hotel accommodations as submitting an abstract does not register you or ensure hotel accommodations for the meeting.

Abstract presentation dates will be finalized in August, so authors should plan to attend the entire meeting. Registration and housing will open for members on Wednesday, May 23. On Friday, June 6, registration will open for non-members. Various hotel accommodations and rates have been reserved for the meeting and are only available through ACR Housing.

Guided Poster Tours

Guided poster tours, led by experts in the field, will guide small groups of attendees during the poster presentation times and in the afternoons to highlight novel or recent developments. Selected posters from various abstract categories will be included in the tour.

Abstract Supplement Book

Abstracts accepted for presentation from the June 28 submission deadline will be published in the October 2012 supplement of Arthritis & Rheumatism. The printed abstract supplement will not be mailed prior to the meeting; however, it will be distributed on site to attendees who request a copy at no additional charge. Accepted abstracts will also be available on the website in September. * Exact abstracts website online launch date will not be published.

To better meet the needs of the attendees, the ARHP categories have been modified this year to accept research abstracts only.

Clinical Practice/Patient Care: care of patients, practice management, medication monitoring/adherence and behavioral aspects of care. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.
Education/Community Programs: patient education, professional education, community-based programs and public health programs. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.
Epidemiology and Public Health: descriptive and analytical studies of health status and health outcomes of populations and patient groups. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.
Health Services Research: health care systems and delivery economic evaluations and analysis. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.
Pediatrics: pediatric practice and patient care. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.
Psychology/Social Sciences: psychology, social work, social and behavioral factors affecting patients, families and providers. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.
Rehabilitation Sciences: physical therapy, occupational therapy, exercise programs and other rehabilitation services. Research presentations share scientific findings, controlled studies and other analysis of rheumatology related data.

Reproducing ACR Abstracts for Dissemination Prior to the Annual Meeting

Requests to reproduce abstracts for dissemination prior to the annual meeting will not be approved.

Per the ACR embargo policy, academic institutions, private organizations and companies with products whose value may be influenced by information contained in an abstract may issue a press release to coincide with the availability of an abstract online.

Permission to issue a press release does not require ACR approval. However, it must comply with the ACR Embargo Policy; violation of this policy may result in the abstract being withdrawn from the meeting or other measures deemed appropriate.

Reproducing ACR Abstracts and ACR Posters for Dissemination During the Annual Meeting

Following approval (see approval process), an exhibiting organization may:

Disseminate copies of individual ACR Abstracts from its exhibit space. Booklets of abstracts (e.g., two or more) may not be produced.
Disseminate information summaries (title/date/time/poster number) of ACR Abstracts from its exhibit space. Summaries may not reference company or product names. Requests for approval must be submitted in writing to .

Presenting authors may disseminate individual copies of their ACR Poster during their assigned poster presentation time. Dissemination must be limited to the area directly in front of their assigned poster space and may not interfere with other poster presentations.

Reproducing ACR Abstracts and ACR Posters for Dissemination After the Annual Meeting

Following approval (see approval process), the ACR permits ACR Abstracts to be reprinted and disseminated following the annual meeting.

Information displayed or presented at all sessions during the annual meeting is the property of the ACR or the presenter. What is the fee to submit an abstract?

Each individual abstract submitted by June 26, 2012 will be charged a non-refundable processing fee of $70 (ACR) or $40 (ARHP) in U.S. funds.

ACR Late-Breaking Abstracts

A $130 non-refundable processing fee (in U.S. funds) must accompany each abstract. The late-breaking abstract category allows for the submission of truly late-breaking scientific research for which no preliminary data are available at the time of the June 26, 2012 abstract submission deadline.

This category is not a mechanism to allow for updated data to be submitted later when preliminary data are available by the abstract submission deadline.

Abstracts may be selected only for oral presentation. They will not be selected for a poster presentation. It is likely that no more than 5 percent of late-breaking submissions will be accepted for presentation.

I am a Student/ Resident/ FIT and I want to submit an abstract. What are my submission options?

The ACR is committed to recognizing students and fellows-in-training and encourages the submission of abstracts by presenting authors who are pre-doctoral and post-doctoral students, residents, medical students or fellows-in-training and offers several award programs. Please check the box on the submission form to indicate your training status. The fellows-in-training special abstract category has been eliminated.

Can I submit an abstract if I presented it at another meeting or submitted it to a journal?

An abstract is ineligible for consideration if it reports work that has been accepted prior to the ACR submission deadline of June 26, 2012, for publication as a manuscript.

What is the abstract character limit?

The abstract limit is 2,750 characters, which excludes the title, names of authors/co-authors, authors' affiliations, spacing and disclosures. Your abstracts will be considered "incomplete" if you exceed the limit.

How many authors can be listed on a single abstract?

You may list no more than 25 individual authors for each abstract. An authoring group is an optional way to acknowledge authors of a multicenter or study group associated with a trial such as SLICC or Southwest Orthopedic Group.

When will I know if my abstract has been accepted for presentation?

Presenting authors will receive an e-mail in August notifying them if the abstract has been accepted. Late-breaking presenting authors will receive an e-mail notification in October.

When will abstracts be published?

Accepted abstracts will be in a supplement of the October issue of Arthritis & Rheumatism, an official journal of the American College of Rheumatology. Accepted late-breaking abstracts will be published in the December issue of Arthritis & Rheumatism. All accepted abstracts will be available on the website in September.*Exact abstracts website online launch date will not be published.
